Nowak Aesthetics is a cosmetic dermatology & body contouring practice in Chula Vista, CA. Every booking requires TWO systems (main scheduler + ghost calendar) and a credit card to hold. Hard stops: do not book or transfer anyone under 18 or pregnant. Schedule all consults under CoolSculpting (Awake Lipo is not booked by Boost).

Call Flow

    Greeting — be warm, they took the first step

    Inbound: "Thank you for calling Nowak Aesthetics. May I have your name and best phone number in case we get disconnected?" Then: "I'm so glad you called. Just so you know, this call is being recorded and we do use an automated process for quality assurance purposes. What made you reach out today?"

    • Outbound: "Hi, this is [Your Name] calling from Nowak Aesthetics. Am I speaking with [Patient Name]? Great! Do you have a few minutes? Just so you know, this call is being recorded and we do use an automated process for quality assurance purposes."
    • Reminder — do not read aloud: Check GHL Procedure of Interest and Appointment Day/Time!

    Discovery — build rapport, push to book

    • Open with "How can I assist you today?" then let them talk.
    • Go deeper: How long have you been thinking about this? What's been holding you back?
    • Validate — congratulate them on calling and taking the first step: "I'm so glad you reached out. Let's get you in!"

    Qualify — confirm fit before booking

    • HARD STOP — Under 18? DO NOT book or transfer.
    • HARD STOP — Pregnant? DO NOT book or transfer. Say: "We can't schedule right now, but we'd love to get you in once you've had the baby!"
    • Nursing? OK to book — notate in the appointment.
    • Consult type: In-office (preferred, 1 hr) or virtual (30 min, by Klara) — both free, with a Patient Care Coordinator (see Appointment Types).
    • Credit card required to hold the appointment · 48-hour cancel/reschedule policy · $50 fee for no-shows or late cancellations.

    Schedule — two systems, both required every time

    • DUAL BOOKING — complete BOTH steps every time. Step A: Book in the main scheduler (this is where you find available times). Step B: Also enter in the ghost calendar. Do NOT use the ghost calendar to find times — use the main scheduler only.
    • Appointment type: Schedule everything under CoolSculpting — this includes all consult types. Exception: Awake Lipo inquiries are not booked by Boost.
    • Virtual consult? Enter "VIRTUAL CONSULT" in the Reason for Visit field.
    • No-show reschedule? Schedule new appointment and notate: "Rescheduled appointment for no-show patient."

    Patient Education — wrap up

    • Always cover: appointment date/time/provider/location; appointment instructions (e.g., no contacts, bring insurance); how to reschedule; congratulate & close.
    • Nowak specifics: Patient will receive text messages with consult prep instructions automatically. Confirmation sent by text and email.
    • Remind them to reach out at least 48 hours in advance to cancel or reschedule — $50 fee applies for late cancellations and no-shows.
